Each LiveDiligence transaction has a Team & Permissions page where you can control user access and permissions.
Users can be classified into one of three types:
- Internal: Colleagues within your organisation.
- External viewers: Users outside your organisation who will read the review but not create content (e.g. your client).
- External editors: Users outside your organisation who will contribute to the review (e.g. an external expert).
Adding Internal users to a transaction
Whenever you create a new transaction you are automatically assigned the administrator role for that transaction. The administrator role has all permissions set permanently on.
When you want to collaborate with a colleague on a transaction you can add them via the Team & Permissions page.
Adding a colleague to the Administrator role
- Hover over the admin role and click the + button
- Select the colleague you wish to add from the pop-up window
- Click the ‘Invite’ button
- An automatic email will be sent informing the user they have been added to the transaction and the transaction will now appear in the users’ home page
Adding a colleague to a new internal role
Adding a colleague without giving them the full permissions of an administrator can be done by creating a new internal role:
- Click on the blue + button to create a new role
- Give the new role a name and click save
- Use the permission toggles on the right to set the desired permissions for the role, clicking the ‘save’ button when done
- Click the + button below the newly created role and select the users you which to add via the pop-up menu.
- Click the ‘Invite’ button
- An automatic email will be sent informing the user they have been added to the transaction and the transaction will now appear in the users’ home page
Adding External users to a transaction
External users are people outside your organisation that you want to provide transaction access to, typically your client or third-party experts.
To invite external users, first navigate to the external users tab inside the Team and Permissions page.
Adding a new external viewer
External viewers are users outside your organisation who will read the review but not create content. External viewers do not count towards your organisation’s monthly active user count.
- Click the blue + button to create a new external viewer role
- Give the new role a name and click save
- Use the permission toggles to set the desired permissions for the role, clicking the ‘save’ button when done
- Click the + button below the newly created role and type the email address of the user to be added.
- Click ‘Add’
- Click ‘Invite’
- An automatic email will be sent informing the user they have been added to the transaction and the transaction will now appear in the users’ home page.
Adding a new external editor
External editors are users outside your organisation who will contribute to the review (e.g. an external expert). External editors count towards your onrganisation’s monthly active user count.
- Click the blue + button to create a new external editor role
- Give the new role a name and click save
- Use the permission toggles to set the desired permissions for the role, clicking the ‘save’ button when done
- Click the + button below the newly created role and type the email address of the user to be added.
- Click ‘Add’
- Click ‘Invite’
- An automatic email will be sent informing the user they have been added to the transaction and the transaction will now appear in the users’ home page.
Changing user roles
To change a user’s role:
- Hover the user and click on the … menu
- select ‘change user role’
- Choose the new role from the dropdown list
- Click ‘Confirm’
Users can only be moved between roles of the same type, i.e.
- Internal users can be only be moved to other internal roles
- External viewers can only be moved to other external viewer roles
- External editors can only be moved to other external editor roles
Note that role changes do not trigger any email notification to the affected users.
Removing users from a role
To remove a user from a transaction simply remove them from the associated role:
Note that you cannot remove the last administrator from a transaction, as this would leave nobody to manage the transaction.
Pending and expired invitations
Whenever you invite an external user to LiveDiligence for the first time they will be shown as ‘pending’ until they have opened the invite email and logged in to the platform for the first time. Transaction invitation emails expire after 14 days and any user attempting to access the invite email after this time will re-directed to an ‘invite expired’ page.
Resending invites
For any user who’s transaction invite ‘pending’ or ‘expired’ it is possible to resend the invitation. You can resend an invite to any pending or expired user and this will restart the 14 day clock for that invitation.
Cancelling invites
Pending invitations can be cancelled via the … menu. Any user trying to access a transaction via a cancelled invite email will be redirected to a invalid invite page
